Announcement
|
This service offers an announcement-only mailbox on a single campus telephone number. With this service
-
You can record a name or greeting and change the telephone user interface passcode via the telephone.

You cannot receive voicemail messages in this mailbox (neither through direct calling nor through another UniBears subscriber pressing 4 to send) .

A caller can press 0 to speak to an operator. You can set the operator target number via the web or you can have CNS set operator target number when you order this service. (Include the operator target number in your order.)
- You can access the UniBears system to manage your announce-only mailbox by calling phone number and pressing *.

Voicemail - Basic and Plus
|
This service offers basic voicemail.
Callers will be able to leave you voicemail messages and you will be able to retrieve them via the telephone.
With this services you can return calls to campus telephone numbers.
This service is the most similar to the Digital Sound voicemail service used on campus from 1997 to 2005.
In addition to configuring voicemail options via the telephone, the following telephone interface options may also be changed via the UniBears web interface:
- how messages are counted
- how messages are sorted for playing
- when mailbox name and status is played
- whether playback mode is brief or verbose
Via the web interface you can also change your telephone interface passcode.
If you previously had message waiting notification the message notification method will not change. The system sets the Message Waiting Indicator (MWI) on your line or set. If you have an analog line, you will hear stutter dial when you have a message. If you have a digital set or a MWI set, a MWI lamp will be lit whenever you have a message.
Pager notification is established by the CNS system administrator. Customers enter Shopping Cart orders to initiate or change pager notification numbers.
Voicemail Basic customers can store up to 10 new and saved messages for 21 days.
Voicemail Plus customers can store up to 20 new and saved messages for 21 days.

Voicemail - Enhanced
|
Like Voicemail Basic and Voicemail Plus, callers can leave Voicemail Enhanced customers messages which can be retrieved through the telephone. Additionally, Voicemail Enhanced customers will be able to return phone calls, even to people off the Berkeley campus. Charges for this call usage will appear on the CNS Billing Statement. You will also be able to place outgoing calls from within the voicemail system with the charges appearing on the CNS Billing Statement.
In addition to Voicemail Basic/Plus web interface features you can create rules for handling incoming calls and voicemail messages via the web interface. For example, you can combine a Custom Greeting Rule with a Drop Inbound Call Rule to create an announce-only voice mailbox.
Message notification: Voicemail Enhanced customers have a multitude of notification options:
- Email notifications whenever anyone calls and it rolls over to UniBears, regardless of whether the caller left a message
- Email, pager or SMS notifications whenever a message is left
- The system can even place a call to a number you specify whenever a message is left
Voicemail Enhanced customers can store up to 60 new and saved messages for 60 days.

Unified Messaging
|
Unified Messaging has all the features of Voicemail Enhanced. Additionally, unified messaging is a solution that brings email, fax, and voice messaging together into a single unified mailbox. Unified messaging services allow you to access all of your email, fax and voice messages using email, webmail or the telephone.
Unified in-box. The service provides integrated message notification, which allows consumers to receive all their messages in a single mail-box, regardless of how the message was originally sent. When you return to your office, instead of checking your new email on your desktop and your new voice mail on your phone and your new faxes on the fax machine, you can check all of your new messages in one place: either the phone, the desktop, or your wireless device. When you check your messages through the phone, you'll be able to hear that you have voicemail message, faxes and email messages. The system will read your email to you, using text-to-speech technology. You can reply and forward messages through the phone, as if you were at your desktop. Be sure to have a headset so you can remain cubicle friendly!
Unified messaging works best when you use IMAP to check your email. IMAP stores the messages on the server until you delete or move a message.
POP email users may find unified messaging troublesome and should consider whether Voicemail Enhanced can meet their needs just as well. When you POP messages (and don't retain), you are actually removing the messages from the server. This allows you to receive all of your voicemail messages in your email inbox. But if you ever want to check your messages over the phone, the messages most likely will not be on the server, because you just "POPed" (removed) them from the server and stored them on your computer.
The number of messages stored and length of message retention is controlled by you and your email system.

Follow Me Add-on
|
The Follow Me Add-on service is
an optional add-on service for the
Voicemail - Enhancedand
Unified Messaging
services.
In addition to all the
Voicemail - Enhanced
features,
Follow Me allows on-the-go customers to better manage their incoming communications BEFORE they become messages. With Follow-Me call management, the caller dials a single number and can get in touch with you no matter where you are or what device you're using (home phone, mobile phone, internet). Call Screening allows you to hear who is calling before you decide to accept the call.
Follow Me enables you to become geographically independent. You no longer have to wait by the phone for that important call.
Call usage for forwarded calls is consolidated onto your CNS Billing Statement.

Virtual Fax
| 7-12-2006: The Unibears Virtual Fax Service for campus 510-666-xxxx fax numbers has been restored.

There are three types of virtual fax service with two types of storage:
- Individual Fax (C) or (U)
- Shared Fax (U) (CalMail storage may be available Summer 2006)
- Supplement Fax (C) or (U)
"C" indicates CalMail storage, "U" indicates UniBears storage.
With UniBears storage faxes sent to your fax number will be received and stored by UniBears. With CalMail storage faxes sent to your fax number be received by UniBears and stored in your CalMail email inbox. (You must have a CalMail email mailbox to use the CalMail storage.)
Received faxes are stored as Tag Image File Format (TIFF) files which may be displayed using a TIFF viewer on computer workstation connected to the Internet to view.
A virtual fax service will allow you to eliminate the cost of printing junk faxes. Faxes are printed only if you choose to do so. With a virtual fax service you will need to print faxes via a computer workstation connected to the Internet or redirect the fax via the telephone system to a fax number with a traditional fax machine.
| All virtual fax services are currently "receive only". A fax machine or fax-capable workstation (with fax modem) and analog fax telephone line is required to sent faxes. |
With the desktop-faxing feature (which we expect to be available later in 2006 for Windows systems) Individual Fax and Shared Fax users will be able to send faxes on-line via UniBears.
Charges for sending faxes will appear on your CNS bill statement.
Individual Fax is an add-on service for Voicemail Basic, Voicemail Plus, Voicemail Enhanced, or Unified
Messaging. This service will appeal to those of you who receive
confidential faxes since received faxes will be deposited directly into your
individual CalMail email or UniBears fax mailbox for your eyes only. With this service, the fax number is assigned for your personal use and not shared by others.
Shared Fax service will appeal to new departments that are being
set up and would like to save money on installing a new physical
telephone line for faxes, infrastructure and network access fees.
This service, just like a shared
physical fax machine, means that everyone can see everyone else's
faxes. If you're concerned about privacy, we suggest the Individual Fax
Add-on service where each person can receive his/her own personal fax
number.
Supplemental Fax service will appeal to departments who already have
a dedicated fax line, but would like to have the advantage of
receiving their faxes electronically into a designated account to be
forwarded to individuals. CNS will take your current fax number and
point it to UniBears so you can receive your faxes electronically and
save money on paper and cartridges. Another advantage is that you
need not change, or announce to your customers that you have changed
your fax number. CNS does the work behind the scenes and your faxes
magically appear in an email account designated by you.
Supplemental Fax service allows you to change how you receive faxes. With this service faxes are received by UniBears and can be viewed via CalMail or via the UniBears web interface depending upon how the faxes are stored. It allows you to use your current fax line number for this receive-only virtual fax service.
Forwarding your fax line to UniBears allows you to view and print faxes via the campus network. You can preview faxes before they are printed. (Forwarding your fax line to UniBears will prevent you from printing faxes on the fax machine connected to your fax line.
With this service you will still need use your fax machine or fax-capable workstation to send faxes via the telephone line. This service is for dedicated fax telephone numbers. If you use your current fax number to receive both voice and fax telephone calls, this service is not for you.

Security considerations: Virtual fax services implemented on CalMail have the same risk of disclosure as email.
CalMail access is password authenticated.
User access to UniBears is CalNet ID authenticated.
The transport of faxes and other messages between the customer and CalMail or UniBears is encrypted.
In most cases when printing to a networked printer the transmission via the network from a workstation to the printer is not encrypted.
The files used to store received faxes on both CalMail and UniBears are not encrypted. Server administrators have access to files on CalMail and UniBears. Files are periodically backed up for system recovery purposes. Both CalMail and UniBears are connected to the Internet and subject to attack from the Internet.

Extension Mailboxes
The UniBears Extension Mailboxes service allows people to share a single common telephone number. This service has one menu and two to nine selectable UniBears mailboxes on the same extension number. Each mailbox can have a different class of UniBears service. The spoken menu prompt is "To leave a voicemail for name press number" which is repeated for each defined mailbox.
For example:
To leave a voicemail for John Brown press one.
To leave a voicemail for Amanda Green press two.
To leave a voicemail for the office press three.

There is no charge for the extension mailboxes' menu. Charges depend upon the UniBears services ordered for each extension mailbox:
Compatible add-on services may be added to each extension mailbox if desired. When ordering the extension mailboxes service please include
- the names and which mailbox extension number (1 - 9) you want each name associated with.
- the UniBears services you want for each extension mailbox.
- if you want message waiting indication (MWI) turned off for some extension mailboxes. If so, which?
- If the telephone number does not appear on a telephone set that can be used to setup the extension mailboxes.
It is important you determine how you want the
extension mailboxes to work before CNS establishes the
mailboxes. Here are the most common issues:
- What does your department want the caller to hear when a call
is placed to this number?
- In what order do you want the names to be played to the caller.
- What class of service
do you want for each mailbox? Note: They can all be
different.
- Do you want other mailboxes associated with
individual people or just departmental mailboxes? Note: If
associated with individual people, the people can log in
through the web using their CalNet IDs. Those mailboxes
associated with a generic, departmental mailbox will have no
web access. The default is to establish mailboxes associated
with individual people.
- Do you want the Message Waiting Indicator set on
each mailbox? To what number? By default CNS will set
the Messaging Waiting Indicator on the shared telephone line for
all extension mailboxes.
- Is there a physical presence of the telephone line and number on your phone set? If not, please note
this on the work order, as CNS must initialize each mailbox for
the first time if there is no physical presence. CNS assumes there is a physical presence on someone's desk unless the customer tells us
otherwise.
